About the Position

William Carey International University (WCIU) is seeking three accomplished and highly trusted professionals to serve as Executive Assistant to the Provost, Executive Assistant to the Advancement Team, and Executive Assistant to the President. These positions plays a pivotal role within the Office of Academic Affairs, providing executive-level partnership and operational leadership in support of the university’s academic strategy and institutional priorities. 

The Executive Assistants serves as a key collaborators and facilitators within the Provost’s Office, President's Office and Advancement in helping to advance strategic initiatives, coordinate high-level academic operations, and maintain continuity across leadership activities. This role requires exceptional professionalism, integrity, discretion, and executive presence, with the ability to operate confidently in complex and confidential environments. 

This is an opportunity for a capable and motivated professional to work closely with senior academic leadership and contribute meaningfully to institutional effectiveness and academic excellence. 

Primary Responsibilities

Executive Partnership & Leadership Support 

  • Serve as a primary executive partner ensuring effective management of priorities, communications, and daily operations. 
  • Manage complex scheduling and facilitate high-level meetings involving academic leadership, faculty, governance bodies, and external stakeholders. 
  • Prepare executive briefings, correspondence, reports, presentations, and meeting materials that support strategic decision-making. 
  • Track priorities and action items, ensuring continuity and timely follow-through across initiatives. 

Strategic Coordination & Institutional Support 

  • Conduct research and synthesize information to support academic planning, leadership decision-making, and institutional strategy. 
  • Prepare analyses, background summaries, and supporting documentation related to higher education practices, policies, and trends. 
  • Contribute to the advancement of institutional initiatives through strong organization, documentation, and project coordination. 
  • Support process improvement and policy review efforts to strengthen operational effectiveness. 

Academic Affairs Operations 

  • Provide high-level administrative leadership, ensuring professional and efficient operations. 
  • Support faculty-related administrative processes, including adjunct faculty agreements and curriculum design contract coordination. 
  • Maintain strict confidentiality and exercise sound judgment when handling sensitive academic and organizational matters. 
  • Serve as a central point of coordination and communication across internal and external constituencies. 

Institutional Engagement & Event Leadership 

  • Coordinate logistics for executive meetings, academic forums, leadership retreats, webinars, and institutional events. 
  • Oversee planning details including travel coordination, virtual platforms, stakeholder communications, and preparation of meeting resources. 
  • Ensure a high standard of professionalism in all interactions and events representing the Provost’s Office. 

Administrative & Operational Stewardship 

  • Support financial and administrative processes including expense reporting, contract documentation, and onboarding coordination. 
  • Assist with compliance-related documentation and institutional policy processes. 
  • Complete required trainings and uphold university policies and professional standards. 

Qualifications

  • Agreement with WCIU's Statement of Faith: www.wciu.edu/statement-of-faith 
  • A demonstrated, vibrant Christian faith compatible with the mission of William Carey International University.
  • Bachelor’s degree or equivalent professional experience. 
  • Significant experience supporting senior executives or academic leadership in a complex professional environment. 
  • Demonstrated integrity, confidentiality, and sound judgment in handling sensitive information. 
  • Exceptional organizational and project coordination skills with attention to detail and strategic awareness. 
  • Strong written and verbal communication skills, including executive-level correspondence. 
  • Proven research, analytical, and information-synthesis capabilities. 
  • Ability to manage multiple priorities while maintaining poise, professionalism, and discretion. 

Preferred Characteristics

  • Experience within higher education, academic affairs, or mission-driven institutions. 
  • Familiarity with faculty administration, curriculum workflows, or institutional governance. 
  • Experience supporting strategic initiatives, institutional planning, or accreditation-related activities. 
  • Advanced proficiency with virtual collaboration and administrative systems. 

Working Conditions and Physical Requirements

  • Work at a computer, requiring the ability to send and receive information with necessary optical, auditory, and manual dexterity.
  • Use a keyboard and mouse to enter, retrieve or transfer words or data information and/or move from screen to screen on the computer to view information. 
  • Strong written and verbal communication and interpersonal skills; comprehend and speak English.
  • Display the reading skills necessary to proofread written material.
  • Perform basic mathematical calculations.
